Vrox Labs (“we”, “us”, or “our”) operates the LogBook ERP software suite, including the LogBook Mobile application and LogBook Web platform. LogBook provides business management, GST invoicing, inventory tracking, and Udhaar ledger management for enterprises and merchants.

We respect your privacy and are committed to protecting the Personal Data and business records you entrust to us. This Privacy Policy explains how we collect, use, store, and safeguard your information when you use our application, in compliance with Google Play Developer Policies and applicable data protection regulations.

2. Information We Collect

LogBook collects information strictly necessary to provide reliable multi-device business management and ledger sync services:

A. Account & Registration Data

  • Personal & Business Contact Details: Full name, business title, email address, mobile phone number, and business address.
  • Business Credentials: Business name, GSTIN (GST Identification Number), Drug License Numbers (for Pharmacy enterprises), and FSSAI details.
  • Authentication Identifiers: Encrypted passwords and session tokens. Password reset routines use PII masking (e.g., a***[email protected] / ******2458) for user safety.

B. Business & Operational Data

  • Invoicing & Transaction Records: Sales bills, estimates, purchase records, payment terms, and item catalogs.
  • Customer Ledger (Udhaar / Khata): Customer names, phone numbers, transaction history, balance amounts, and repayment schedules.
  • Inventory Data: Item names, stock levels, HSN codes, buying/selling prices, and jewelry parameter metadata (purity, stone weight, making charges).

C. Device & Technical Information

  • Device & OS Information: Device model, operating system version, app version, unique device identifiers, and network connection status (used for offline synchronization).
  • Diagnostics & Error Logs: Crash logs, performance metrics, and sync state timestamps to troubleshoot technical issues and maintain system integrity.

3. How We Use Your Information

We use the collected data solely for the following legitimate business purposes:

  1. Core Service Provisioning: Generating bills, calculating taxes, tracking stock levels, and managing customer ledgers.
  2. Multi-Device Synchronization: Syncing offline data seamlessly across mobile devices and web consoles via secure cloud services.
  3. Account Security & Verification: Authenticating user sign-ins, managing password resets with anti-enumeration security, and enforcing role-based access control (RBAC).
  4. Customer Support & Communications: Responding to customer service requests, technical assistance inquiries, and system notifications.
  5. System Optimization: Monitoring server performance, fixing software bugs, and preventing security breaches.

4. Data Sharing & Third-Party Disclosure

We DO NOT sell, rent, trade, or monetize your personal or business data to third parties or advertising networks.

  • Data Protection at Rest: Database schemas feature isolated tenant scoping and encrypted database backups.
  • PII Protection: Masked sensitive fields on public password recovery interfaces to prevent user enumeration.
  • Local Storage Security: Local offline data stored on your mobile device is protected using secure operating system storage sandboxing.

6. Data Retention & Account Deletion

A. Retention Policy

We retain your business records and account data for as long as your account remains active or as required to comply with statutory accounting and tax regulations.

B. User Rights & Account Deletion

You have the right to request access to, correction of, or deletion of your account and personal data.

  • In-App Requests: You may manage or edit your profile and business details under Settings in the LogBook application.
  • Account Deletion Request: To request permanent deletion of your account and associated cloud data, please send an email to [email protected] with the subject "Account Deletion Request". Upon verification, we will purge your personal and business data within 30 days, except records required to be retained by law.

7. Children’s Privacy

LogBook is a commercial enterprise resource planning (ERP) application intended for merchants, business owners, and staff. The service is not directed to individuals under the age of 18. We do not knowingly collect personal data from children.

8. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our services or legal obligations. We will notify users of material changes by updating the “Last Updated” date at the top of this policy and providing a notice within the LogBook app or website.
